Draft for a solicitor to check. This is not final legal text. It says truthfully what the site stores today, and has not been reviewed by a lawyer.
Privacy
The short version
- We only use your details to help with your own job search.
- We don't sell your data. We don't show ads, and we don't track you around the web.
- We never send anything to an employer. Only you do that.
- You can see, change, download or delete your data at any time.
- If you're under 18 and anything here worries you, talk to a parent, guardian or teacher, and to us.
Who runs this site
[To be confirmed before launch: the company name and its ICO registration.] You can reach us at hello@example.com.
What we store, and why
| What | Why | How it's kept |
|---|---|---|
| Your email address | To log you in and send you links | Stored as plain text so we can look up your account |
| Your password | To log you in | Stored only as a one-way scrypt hash. Nobody can read it, including us |
| Name, phone, address, postcode and date of birth | To fill in your own application forms, and to check you are at least 16 | Encrypted |
| Your CV | To write your letters and fill in your forms | Encrypted file, only given back to you |
| Job preferences: fields, areas and types of role | To show you the right jobs | Encrypted |
| Education, work history, nationality, right to work (yes or no), start date and referees | To fill in your own application forms | Encrypted |
| Which jobs you ticked, and where you've got to with them | To show you your own list | Stored against your account, and no other member can see it |
| A scrambled form of your email, and how many free applications it has used | So one email address only gets one free trial | It can't be turned back into your email. It stays after you delete your account, or the trial could just be restarted. We delete it after 12 months |
| When you last used the site, and how many goes we've had at each of your letters | To close accounts nobody uses, and to keep what we spend on letters within limits | Deleted with your account |
| What you typed on the sign-up form, until you choose a password | To make your account once you've opened the link in the email | Encrypted, and deleted after 24 hours if you don't use the link |
| Recent attempts to log in, sign up or reset a password | To stop people guessing passwords | A scrambled form of your email or internet address, deleted within a day |
What we don't store
We don't ask for or store scans of passports, ID or other documents. Your payment card is never stored by us: we don't ask for a card for the free trial.
We don't ask about or store your ethnicity, gender, disability, religion, sexual orientation or social background.
Who else sees it
When a page loads, everything on it comes from this site. Nothing goes to Google or anyone else.
When letters are switched on, the text of your CV and the job advert will be sent to Anthropic, the company whose AI writes the letter. We take out your name, email, phone, address, postcode, date of birth and referees first, and add your name and contact details back ourselves afterwards. We never send your optional answers. We can't spot everything in a CV, so please take out anything else you'd rather not share. [To be described in full before letters go live.]
Your scores are worked out on our own computers, from your CV and your preferences. They're for you alone: no firm sees them, and no AI company is involved.
We don't sell your data, and we never send your details to an employer. Only you do that, when you send an application yourself.
Emails
We only email you what you need: a link to confirm your address or reset your password, and news about a plan if you buy one, such as a reminder before each payment. If you switch it on in your details, we also email new roles that match what you asked for, and every one of those has a link to stop them. We won't send marketing emails unless you opt in, and right now there's nothing to opt in to.
Cookies
We use one cookie, which keeps you logged in and protects your forms. It goes when you close your browser, unless you tick "Keep me logged in", when it lasts up to 14 days. There are no advertising, tracking or analytics cookies.
Your rights
You can see and change all of your details on your details page. You can download everything as a file, and delete your account at any time. Deleting removes your profile, your CV and your ticked jobs straight away. All that stays is the scrambled record above.
How long we keep it
If you stop using your account, we keep it for 12 months after you last used it, or 6 months if you only ever had the free trial. We email you 30 days before we close it, and logging in at any time stops that. While you have a plan running, we keep your account for as long as it runs.
Under-18s
You need to be at least 16 to sign up, the age you can start an apprenticeship. Most people here are under 18, so we keep privacy high from the start: nothing is shared, nothing tracks you, and nothing here pressures you to pay or to give us more details. [The solicitor needs to check this against the ICO Children's Code, and advise on what else applies to members aged 16 and 17.]
Complaints
Please tell us first. You can also complain to the Information Commissioner's Office. [Details to be added.]
